Special Projects Assistant to the Vice President for Academic Affairs

The Special Projects Assistant to the Vice President of Academic Affairs offers professional support to the vice president, Assistant Vice President and Administrative Assistant in the Academic Affairs office. The Special Projects Assistant provides office and special project support to (but not limited to) the following academic events: New Faculty Orientation, Graduation, and monthly faculty meetings. Education and Work Experience The Special Projects Assistant will have experience and training in office management, general office procedures, business communication and is proficient in the use of the computer. Qualifications include professional experience in an office setting for a minimum of five years. A bachelor’s degree is preferred. Skill Requirements

Essential Job Functions

* Maintain all part-time files relating to the Academic Affairs sector. Act as a custodian of all files and maintain confidentiality
* Edit and update the Faculty Handbook & Constitution, Deans & Chairs Handbook, Part-Time Faculty Handbook, and General Education Core Handbook. Prepare copies for distribution and have handbooks posted to the website
* Assist the Assistant Vice President for Academic Affairs with New Faculty Orientation, organizing the meeting, corresponding with new faculty, reserving rooms and meals and overall coordination of the meetings
* Assist in the editing of the University Catalog
* Reserve all rooms and schedule refreshments, as needed, for academic events to include:
    o Faculty Seminars in August, January, and May
    o All-Employee Brunch
    o Faculty Chapel
    o Faculty Brunch
    o Faculty Meetings
    o Academic Council Meetings
    o Deans Council Meetings
    o Deans Meetings
    o Undergraduate Curriculum Committee Meetings
    o Graduate Faculty Meetings

* Liaison with Admissions, departments and local high schools to coordinate the dual enrollment classes offered at Lee University
* Assist with Student Employment Office and Graduation Office to hire student workers for three graduation ceremonies per year
* Assist Graduation Office with organization of honor students on the platform for Honors Chapel
* Post and maintain faculty job postings on the Lee website, HigherEd Jobs and CCCU website
* Keep record of faculty and staff attendance at Faculty Meetings
* Keep records, generate correspondence to faculty and staff and update the calendars of the vice president and assistant vice president
* Share the responsibility of answering telephone calls for the vice president’s office in a courteous and kind way. Forward calls and/or take messages according to the availability of the vice president and assistant vice president
* Order flowers and other hospitality items for personnel as requested by the VPAA
* Communicate effectively with internal administrative and academic so that strong working relationships are built and maintained
* Positively reflect Lee University in both professional and personal interactions
* Additional duties as assigned by the vice president and assistant vice president which may include, but are not limited to, the following: preparing special reports for the university or sector, planning and/or coordinating special events, meeting with VIPs and representing the office at various university functions
