The Financial Aid Coordinator of Publications and Special Projects reports to both the Assistant Director and Director based upon various duties.  The Coordinator of Publications and Special Projects will have full knowledge of and abide by the provisions detailed in this job description as well as all written (staff handbook) or verbal policies, procedures, and instructions established by the Lee University administration.

This is a full-time 12-month position.  The hours are typically from 8 A.M. to 5 P.M. Monday through Friday.  Some overtime is required for special events, including weekends and evenings.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • General Duties:  Phone, counter, and email.
  • Oversee publications:
    • Financial Aid sections of the Lee University Catalog
    • Award Letter Notification Packet
    • Financial Aid sections of the Student Handbook
    • Financial Aid section of LeeU Access packet
    • Miscellaneous printed material
    • Various Financial Aid communication
  • Maintain office technology including laptop updates and troubleshooting.
  • Athletics – Scholarship Compliance processes:
    • Provide updates as needed for the financial aid section of the NCAA Compliance Manual.
    • Provide Financial Aid information to Compliance Coordinator for NCAA squad lists.
    • Monitor student-athletes in accordance with NCAA Bylaws.
    • Generate and distribute GSC Athletic Financial Aid Forms to prospective student-athletes and returning student-athletes.
    • Determine countable Financial Aid of student-athletes.
    • Assist coaches with early estimates of federal, state and institutional aid.
    • Maintain Financial Aid information on NCAA’s Compliance Assistant Internet.
    • Maintain joint equivalency spreadsheet with Athletics providing information as needed.
    • Review Financial Aid awards of all student-athletes to ensure compliance with NCAA regulations.
  • Over Need/ Over Budget report.
  • Maintain current procedure manual for this position.
  • Assist with procedure manual for backup duties.
  • Submit weekly report as assigned.
  • Counsel students and parents concerning financial aid options.
  • Participate in campus events – communicates financial aid processes to families and students both in one-on-one settings and in large scale events.
  • Participate in off-campus events as needed.  Including but not limited to: High School FAFSA nights, conference attendance, and miscellaneous off-site recruitment events.
  • Maintain good standing in any personally held federal student loans or otherwise maintain eligibility requirements to secure access to various federal student aid.
  • Maintain working knowledge of (including continuous education of new and changing regulations, comprising but not limited to NASFAA U Credentialling) and comply with all federal, state, and institutional aid regulations and policies.
  • Maintain FERPA, HEA, and other security/confidentiality standards regarding student and staff records and other classified information.
  • Back Up – Institutional Scholarship Programs
    • Manage institutional scholarship accounts in PowerFAIDS.
    • Assist with maintaining Portico Scholarship System.
    • Export scholarships from Portico into students’ accounts in PowerFAIDS.
    • Review scholarships to ensure compliance with federal regulations.
    • Add student awards in PowerFAIDS for scholarship accounts not processed through Portico.
    • Adjust scholarship awards due to withdrawal or non-enrollment of students.
  • Back Up – Endowed Scholarship Program
    • Maintain provisions of all active and inactive endowed scholarships.
    • Assist with keeping the up-to-date website list of active scholarships.
    • Review student applications to determine if family priorities are met.
    • Assist in the review of recommendations to ensure eligibility criteria is met.
    • Coordinate mailing of notification letters to scholarship recipients.
    • Work with Office of University Relations to track completion of Student Appreciation Letters by scholarship recipients.
  • Other duties as assigned.

  • Provide excellent customer service to all customers (both prospective and current students, parents, and colleagues, etc.).
  • Utilize appropriate communication (verbal and written) suitable for a professional environment.
  • Utilize interpersonal and problem-solving skills to address and accomplish required tasks and objectives.
  • Work independently under minimum supervision in accordance with established procedures, while exhibiting harmonious behavior that promotes team cohesion.
  • General knowledge of computers, data processing software, Microsoft Office, email programs, printers, copiers, and telephones.
  • Must present a professional image and work ethic.
  • Exercise sound judgment and remain calm in difficult situations.
  • Highly organized, attention to detail, and ability to prioritize and handle multiple deadlines, projects, and tasks simultaneously.
  • Ability to protect and handle confidential information in a discrete manner.

EDUCATION and/or EXPERIENCE

  • At a minimum the Financial Aid Counselor should have an Associate’s Degree; Bachelor’s Degree preferred.
  • Five years related experience or post high school education.
  • Two years experience in financial aid.
  • Computer skills with ability to type 50 wpm.
